Workers Overview
The Workers module is where you manage everyone connected to your company in Salus. Use it to add new workers, track invites, deactivate or reactivate workers, and assign the permission roles that control what each person can see and do.
Use this page any time you need to onboard a worker, check on a pending invite, remove someone's access, or manage roles across your company.
Note: The Workers module is available on the Salus web app only.
The Workers Tabs
The Workers page has four tabs. Each one groups workers by their current status in Salus.
Active
Lists every worker set up in Salus who has not been deactivated.
Invited
Lists workers who have been sent an invitation to join the company but have not yet accepted it.
Deactivated
Lists workers who have been deactivated by a Company Admin.
Note: A deactivated worker's information stays fully accessible, but nothing can be edited until the worker is reactivated.
Roles
Lists every role your company has created. Roles determine what a worker can see and do in Salus. You can create as many roles as you need and name them however you'd like, but every role must be assigned to one of four Permission Levels:
- Full Access: full visibility into all sites and workers, with administrative and customization capabilities.
- Site Access: full visibility into only the sites the profile is added to, with site-level management capabilities.
- Own Access: access to the worker's own profile only, including forms they've signed or submitted.
- Limited Access: no access to company functionality.

Adding a Worker
There are two ways to add a worker to your company: Create Worker and Invite Worker. In most cases, Create Worker is the option you want.
Tip: Use Create Worker unless the worker already has an existing Salus profile tied to another company, no company, or multiple companies. Only use Invite Worker in those specific cases.
Create Worker
This is the main way to add workers to your company. The worker is notified when their profile is created and can sign in to use the app right away.
- Open the Workers page from the main menu.
- On the Active tab, click + Create Worker.
- Fill in the worker's details.
- Click Save to create the profile.
First Name
The worker's first name.
Required for every worker.
Last Name
The worker's last name.
Required for every worker.
The email address used to invite and sign the worker into Salus.
Required, unless the worker's Role is set to Temporary Worker or a Limited Access role.
Phone
The phone number used to invite and sign the worker into Salus.
Required, unless the worker's Role is set to Temporary Worker or a Limited Access role. Only one of Email or Phone is needed.
Role
The role assigned to the worker, which determines their Permission Level and what they can see and do in Salus.
Required for every worker.
Note: Setting a worker's Role to Temporary Worker or a Limited Access role removes the Email and Phone requirement, only First Name and Last Name are needed. Every worker is still created with an email on the back end, since it's used as a unique identifier. If none is entered, Salus generates a placeholder email automatically.
Invite Worker
Use this option only if the worker already has an existing Salus profile that's associated with another company, no company, or multiple companies. This sends the worker an invite by email or text message to join your company.
- Open the Workers page from the main menu.
- On the Active tab, click Invite Worker.
- Enter the worker's details and send the invite.
The worker appears on the Invited tab until they accept.
Worker Actions
View & Edit
Opens a worker's profile to view and manage their information and related paperwork.
Deactivate
Moves the worker from the Active tab to the Deactivated tab.
Reactivate
Moves the worker back to the Active tab.
- Open the Deactivated tab.
- Find the worker's row and click Reactivate on the right side of that row.
What Happens Next
When you create a worker with an email or phone number, Salus sends them a notification so they can sign in and start using the app. If the worker's role is set to Temporary Worker or a Limited Access role, no notification is sent, since no email or phone was required, and the worker won't sign into the app themselves.
When you deactivate a worker, they move immediately to the Deactivated tab. Their information stays intact, but nothing can be edited until they're reactivated. When you reactivate a worker, they move back to the Active tab and regain full access based on their assigned Role.
Frequently Asked Questions
What's the difference between Create Worker and Invite Worker?
Create Worker is the main way to add someone new to your company. Invite Worker is only for workers who already have a Salus profile tied to another company, no company, or multiple companies.
Why can't I create a worker without an email or phone number?
Email or phone is required for most roles, since it's how the worker signs into the app. Set the worker's Role to Temporary Worker or a Limited Access role to skip this requirement, only First Name and Last Name are needed in that case.
Why don't I see the Roles tab?
The Roles tab is only available to Full Access users. If you have Site Access, this tab won't appear.
As a Foreman, why can't I click into a worker from the Workers list?
Site Access users can only view worker profiles from the site worker list or the mobile app's employee list. The full profile on the main Workers page includes information Site Access users shouldn't have access to.
What happens to a worker's data when I deactivate them?
Nothing is deleted. All of the worker's information stays accessible, but it can't be edited until you reactivate them.
Can I reactivate a worker after deactivating them?
Yes. Open the Deactivated tab and click Reactivate on that worker's row.
