Auto-Archive Draft Forms

Overview

Auto-Archive Draft Forms automatically moves inactive draft forms into the Archived tab after a set number of days. Use it to keep the Submitted Forms list clean and reduce clutter from abandoned or accidentally started drafts.

This setting only affects forms still in Draft status. Forms that have been submitted for review or marked complete are not affected.

What Counts as a Draft

A draft is a form a worker has started but not submitted. This usually happens when someone opens the wrong form by mistake, or starts a form and doesn't finish it.

Once a worker submits a form, its status changes, for example to Review Required or Completed. At that point it's no longer a draft and won't be auto-archived.

How It Works

  • An admin sets a number of days, in whole-day increments.
  • If a draft form isn't opened within that time, it's removed from the Submitted Forms list and moved to the Archived tab.
  • Drafts can be restored from Archived at any time.
  • The setting applies company-wide, not per Site.

Example: If auto-archive is set to 14 days, any draft form that hasn't been opened in 14 days automatically moves to the Archived tab.

Enable Auto-Archive Draft Forms

You need Full Access permissions to enable or manage this setting. If you don't see this option in Company Settings, confirm your permission level with an admin.
  1. Click your name in the top-right corner of Salus.
  2. Select Company Settings.
  3. Click the Auto-Archive Drafts tab.
  4. Click Auto-Archive Inactive Drafts.
  5. Enter the number of days a draft can remain unopened, then click Save.

Number of Days

How many days a draft form can sit unopened before it's automatically archived. Entered in whole days.

Use it when: setting up auto-archive for the first time, or adjusting how aggressively drafts get cleaned up.

Change or Turn Off Auto-Archive

  1. Open Company Settings and click the Auto-Archive Drafts tab.
  2. Click Change Settings.
  3. Update the number of days, or click Turn Off to disable auto-archive entirely.

Restore an Archived Draft Form

Archived draft forms can be restored at any time from the Archived tab. A restored draft returns to Draft status and reappears in the active Submitted Forms list.

Note: Restoring a draft resets its auto-archive timer. The countdown restarts from the next time the form is opened, not from the restore date.

What Happens Next

Once enabled, any draft form that isn't opened within the configured number of days is archived automatically. No notification is sent to the worker or the admin when this happens.

Auto-archiving keeps running in the background until the setting is turned off. The Auto-Archive Drafts page always shows the admin who last updated the setting, the number of days configured, and when it was last changed.

Frequently Asked Questions

Was my form deleted?

No. Draft forms are archived, not deleted, and can be restored at any time.

Do users get notified when a draft is archived?

No. Drafts are archived automatically with no notification to the worker or admin.

Does this affect submitted or completed forms?

No. Only forms in Draft status are affected. Submitted and completed forms are never archived by this feature.

Is this setting per Site?

No. Auto-Archive Draft Forms is a company-wide setting and applies across all Sites.

What happens if I restore an archived draft?

It returns to Draft status and appears in the active Submitted Forms list. Its auto-archive timer resets and starts counting from the next time it's opened.

Who can change this setting?

Only users with Full Access permissions can enable, edit, or turn off Auto-Archive Draft Forms.
