Understanding form libraries across multiple companies
Overview
When multiple companies work on the same site in Salus, it helps to understand how form libraries are managed, so everyone gets access to the right forms without confusion.
Company-Specific Form Libraries
Each paying company has its own dedicated form library. It's visible only within that company's app, under the form template list, and it's completely separate from every other company's library. No one outside your company can see it by default.
Accessing Another Company's Forms via QR Code
If a company needs to fill out a form that belongs to a different organization, for example a subcontractor completing a form for the site owner, a QR code makes that possible:
- The company that owns the form provides a QR code.
- The other company scans it using their own app.
- This grants access to that specific form template, letting it be completed and submitted.
Example: Company B is working on Company A's site and needs to complete a form that belongs to Company A. Company A shares a QR code, and Company B scans it and fills out the form directly through their own app.
Subcontractors Without Their Own Salus Account
Some subcontractors access Salus through a prime contractor rather than paying for Salus directly. These subcontractors don't have their own form library. Instead, they can only access forms that the prime contractor has specifically enabled for them using the Share with Subcontractor setting.
Once a prime enables this for a form, it appears automatically in the subcontractor's New Form list, no manual distribution needed.
A subcontractor can be connected to multiple prime contractors at once, and they'll see forms shared from each one in that same list. To help tell forms apart, the prime contractor's name appears beside each one. This matters most when two primes share a form with the same name and type: the name label is what lets the subcontractor pick the correct one.
What Happens Next
