When multiple companies operate on the same site using Salus, it's important to understand how form libraries are managed to ensure smooth access and accurate data collection.
🔐 Company-Specific Form Libraries
Each paying company has its own dedicated form library. These libraries are:
- Visible only within that company’s app under the form template list
- Completely separate from other companies’ libraries
- Accessible only by the owning company — no cross-company visibility by default
This ensures that each organization maintains control over its own forms and workflows.
🔗 Accessing Another Company’s Forms
If a company needs to fill out a form that belongs to another organization (e.g., a subcontractor completing a form for the site owner), they can do so via a QR code. Here's how it works:
- The company that owns the form provides a QR code
- The other company scans the QR code using their app
- This grants temporary access to the specific form template, allowing it to be completed and submitted
Example:
If Company B is working on Company A’s site and needs to complete a Company A–specific form, Company A will share a QR code. Company B scans it and fills out the form directly through their own app.
🧰 Form Libraries for Subcontractors Without Direct Salus Accounts
Some subcontractors access Salus through a prime contractor rather than paying for Salus directly. In these cases:
- They do not have their own form library
- They can only access forms that have “Share with subcontractor” enabled in the prime contractor’s form template
- These subcontractors can be associated with multiple prime contractors
- They will see and access all forms shared with them from each connected prime
- Each form template is clearly labeled with the name of the prime contractor it belongs to
This setup ensures subcontractors have access to the forms they need, while maintaining clear ownership and visibility for prime contractors.
✅ Summary
- Each paying company can view and complete only their own forms within their app
- Accessing another company’s forms requires scanning a QR code
- Subcontractors without direct Salus accounts can access shared forms from connected prime contractors
- Shared forms are labeled with the prime contractor’s name for clarity
