Inviting a Subcontractor

Overview

The Subcontractor Portal connects your account with your subcontractors so you can see their on-site safety documentation in one place. Before you can view any subcontractor data, you need to connect with them first.

Use this article to invite a subcontractor who already uses Salus, or to invite one who doesn't have a Salus account yet.

Step-by-Step Instructions

  1. Log in to the Salus web app and open the Subcontractors page.
  2. Click the Invitations tab.
  3. Click + Invite Subcontractor.
If you do not see the Subcontractors page, confirm you have Full Access permissions.

If the subcontractor already uses Salus

  1. Search for the subcontractor by name. Use the Country and Province/State filters to narrow your search.
  2. If they appear in the results, click Connect.
  3. Select the site or sites you want to give them access to, then click Send Invite.

If the subcontractor doesn't have a Salus account yet

  1. Click Can't Find Subcontractor?.
  2. In the Invite Subcontractors to connect window, fill in the fields below for each company you want to invite.

Company Name

The name of the subcontractor company. Required.

Use it when: inviting any new company, regardless of contact method.

Email

The email address of the person who should receive the invite. Not marked as required on its own, but you must enter an email or a phone number for the invite to send.

Use it when: you have an email address for your contact.

Phone

The phone number of the person who should receive the invite. Not marked as required on its own, but you must enter an email or a phone number for the invite to send.

Use it when: you only have a phone number for your contact.

Site

The site or sites this subcontractor should have access to once connected. Required.

Use it when: inviting any new company.

Note: Company Name and Site are required fields. Email and Phone are not individually required, but you must fill in at least one of them or Salus will not let you send the invite.

  1. To invite more than one company at once, click Add Row and repeat the fields above for each company.
  2. When your invitations are ready, click Send Invite.

Tracking and resending invitations

  1. Return to the Invitations tab at any time to check the status of invitations you've sent.
  2. To resend an invitation, hover over it and click Resend Invite.

What Happens Next

After you click Send Invite, Salus sends the subcontractor an invitation by email, text, or both, depending on what you entered. The invitation appears in your Invitations tab with a pending status until the subcontractor accepts.

Once accepted, the subcontractor is connected to the selected site or sites, and their safety documentation becomes visible to you through the Subcontractor Portal.

Frequently Asked Questions

Why can't I click Send Invite?

Company Name and Site are always required. You also need to enter at least an email address or a phone number for each row before Salus will send the invite.

Do I need both an email and a phone number?

No. You only need one of them. Enter whichever contact method you have for the subcontractor.

I don't see the Subcontractors page. What's wrong?

This page is only available to Full Access users. Confirm your permission level with your Salus administrator.

What's the difference between Connect and Can't Find Subcontractor?

Connect links you to a subcontractor who already has a Salus account. Can't Find Subcontractor? opens a form so you can invite a company that doesn't have one yet.

Can I invite more than one company at a time?

Yes. Click Add Row on the invite form to add another company, then fill in its fields before clicking Send Invite.

The subcontractor hasn't responded. What can I do?

Open the Invitations tab, hover over the pending invitation, and click Resend Invite.
