Overview

Company Orientations let you create orientation workflows that aren’t tied to a specific site. They’re designed for company-wide requirements that workers only need to complete once, rather than repeating the same information at every site.

Typical applications include:

  • New employee onboarding

  • Annual or recurring refresher training

  • Company-wide safety videos, quizzes, or policy acknowledgements

By separating company-wide training from site-specific orientations, workers can complete shared requirements once, while site orientations focus only on what’s unique to each site. This reduces duplicate work, saves time in the field, and makes the orientation process faster and easier for everyone.

Company Orientations can also be linked to Site Orientations, so you can require company-wide training while still enforcing site-specific requirements.

Where to Find Company Orientations

Company Orientations live in the Orientations section of Salus.

You can access them by navigating to:
Orientations

From the Orientations page, you can view and manage all orientations, including both Site and Company Orientations.


Creating a Company Orientation

Step 1: Choose the Orientation Type

  1. Go to Orientations

  2. Click the blue Create Orientation button

  3. In the pop-up, select Company Orientation

  4. Click Create Orientation


Step 2: Set the Basics

Once selected, you’ll be taken to the Build window.

Orientation Name

Give your orientation a clear, recognizable name (for example, Company Safety Orientation or New Hire Orientation).

Expiration Period

Choose how long the orientation should remain valid once completed:

  • Always valid – the worker completes it once

  • Expires after a set period – choose a duration between 1 and 24 months

Once expired, the worker will need to complete the orientation again.


Orientation Items

After setting the name and expiration, you’ll add Orientation Items. These define what a worker must complete.

Adding Items

  1. Click the blue Add Item button

  2. Choose one of the following:

    • Form

    • Document or Folder

    • URL

    • Request Certificate Upload


Configuring Items

Once added, items appear in a list where you can configure each one.

You can:

  • Select a specific form

  • Choose a document, image, PDF, or video

  • Provide a URL

  • Require a certificate upload


Required Completion

All orientation items are required.

Workers must complete every item before the orientation can be marked as completed.

Video Completion

Videos must be watched in full. Salus monitors video playback to ensure the entire video is viewed before the worker can move on.


Generate Certificate

After adding your Orientation Items, you’ll see a section titled Generate Certificate.

When enabled, a certificate will be automatically generated and assigned to the worker once the orientation is completed.

Enabling Certificates

  • Check the Generate Certificate checkbox

  • Additional options will appear

You can then:

  • Select a Certificate Type (for example, Fall Protection, First Aid, WHMIS / Hazard Communication)

  • Set a Certificate Expiration Period:

    • Always valid, or

    • 1–24 months in monthly increments

Once the orientation is completed, the certificate is automatically issued and no additional action is required.


Access Control

The final step is Access Control, where you define who can access the orientation.

Join Company

  • Workers not already part of your company will be prompted to join when they scan the QR code

  • Commonly used for internal onboarding and company-only training

Subcontractor Access

  • Allows subcontractors to access and complete the orientation

  • Useful when training applies to both employees and subcontractors


Step 5: Create and Activate

When you’re ready:

  • Click the blue Create Orientation button at the bottom of the screen

This immediately:

  • Creates the Company Orientation

  • Activates it

  • Makes it available to all applicable users


How Workers Access Company Orientations

Most workers access Company Orientations by scanning a QR code.

They:

  1. Scan the QR code

  2. Complete each required item

  3. Finish the orientation

A QR code is simply a link. Admins can also copy the orientation link from the Orientations page and share it via email, text message, or other channels.


Tracking Completion

To track completion:

  1. Go to Orientations

  2. Click into the Company Orientation

You’ll see:

  • Worker name

  • Worker company

  • Orientation Status, representing:

    • Not Started
      The worker has not opened or begun the orientation yet.

    • In Progress
      The worker has started the orientation but has not completed all required items.

    • Completed
      The worker has completed all required items in the orientation and it is currently valid.

    • Expired
      The worker completed the orientation previously, but it is no longer valid due to the expiration period and must be completed again.

  • Completion date

  • A View option

The View option opens a read-only summary of the worker’s orientation entries.


FAQs

What’s the difference between a Company Orientation and a Site Orientation?
Company Orientations are company-wide. Site Orientations are site-specific.

Do workers need to complete a Company Orientation more than once?
Only if it expires.

What happens when it expires?
The status changes to Expired and the worker must complete it again.

Are all items required?
Yes. Every item must be completed.

Can workers skip videos?
No. Videos must be watched in full.

Who can create Company Orientations?
Full Access users (Company Admins).

Can subcontractors complete them?
Yes, if Subcontractor Access is enabled.

How do I see who has completed an orientation?
Open the orientation from the Orientations page.
