Site Orientations on Desktop

Overview

Once a site orientation QR code is live and workers are scanning it, you need a way to check who has completed their orientation and who hasn't. Salus gives you three ways to view this data: at the company level, at the site level, and within a site's worker list.

This article covers all three viewing methods, what each one shows, and who can access them. For instructions on building an orientation workflow itself, see Orientations Overview.

Orientations › Company or Site › Orientation status views

Company Level View

Use this view to see orientation status across every site in your company from a single screen.

This view is only available to users with Full Access permissions.

Note: This view only shows workers with a status of In Progress or Completed. Workers who haven't started their orientation won't appear here. Check the Site Workers View below to see workers with a Not Started status.

  1. Click Orientations in the left-hand navigation bar.
  2. Select the orientation you want to view.
  3. Use the search bar to find a specific worker, or use the filters to narrow the list by company name or orientation status.
  4. Click a worker's name to open their orientation details.
  5. Click the eye icon next to any completed item to open that object directly, such as a completed form or signed document.

Note: A worker's orientation record only appears here if it's associated with this site. If a worker shows up in the list but you can't see a form they submitted, the form may be missing a site association. Contact your Salus admin to have it corrected.

Site Level View

Use this view to check orientation status for a single site.

If you don't see the Orientations tab within a site, confirm you have Site Access or Full Access permissions for that site.

Note: Like the Company Level View, this view only shows workers with a status of In Progress or Completed.

  1. Click Sites in the left-hand navigation bar.
  2. Select the site you want to view.
  3. Click Orientations in the site's left-hand navigation bar.
  4. Select the orientation you want to view. This opens the same detail view described in the Company Level View above.

Site Workers View

Use this view when you need to see every worker at a site, including workers who haven't started their orientation yet.

If you don't see the Workers tab within a site, confirm you have Site Access or Full Access permissions for that site.

Note: This is the only view that shows workers with a Not Started status, in addition to In Progress and Completed.

  1. Click Sites in the left-hand navigation bar and select the site you want to view.
  2. Click Workers in the site's left-hand navigation bar.
  3. Use the search bar and filters to find a specific worker's orientation status.
  4. Click a worker's name to open their profile.
  5. Click the Orientation tab.
  6. Click the orientation to open a detailed view of the workflow.
  7. Click the eye icon next to any completed item to open that item directly.

Tip: If you're looking for a worker who hasn't started their orientation, use the Site Workers View. The Company Level and Site Level Views only show workers who are In Progress or Completed.

What Happens Next

These views are read-only. Opening a worker's details or clicking the eye icon doesn't change their orientation status or submit anything on their behalf, it just shows you what's already on file.

Clicking the eye icon takes you directly to the completed object, such as a signed document or submitted form, so you can review it without leaving the orientation dialog.

If you spot a worker who's behind on orientation, follow up with them directly. Once they scan the QR code again and complete the remaining items, their status updates automatically.

Frequently Asked Questions

What's the difference between the three views?

Company Level View shows orientation status across all sites, but only for workers who are In Progress or Completed. Site Level View shows the same information for a single site. Site Workers View shows every worker at a site, including anyone who hasn't started yet.

Why can't I see a worker's Not Started status in the Company or Site Level View?

Those two views are built to show workers who are already In Progress or Completed. To see workers who haven't started, use the Site Workers View instead.

A worker shows up in the list, but I can't see a form they submitted. Why?

Form visibility is controlled by site association. If the form was submitted through a workflow that isn't linked to this site, it won't appear here, even though the worker shows up in the list. Contact your Salus admin to have the site association corrected.

A worker only completed part of the orientation, even though I added more items later. Why?

Workers are locked to the version of the orientation they first scanned. Adding new items after a worker has already started doesn't retroactively add them to that worker's checklist. If you need every worker on the latest version, create a new orientation and have affected workers complete it.

Why does a brand new worker show Not Started, even though we haven't set up orientations yet?

This is expected. Not Started is the default status for any worker without an orientation configured for their site or company. It doesn't indicate a problem with their account, it just means no orientation has been assigned yet.

What does the eye icon do?

Clicking the eye icon next to a completed orientation item opens that item directly, such as a completed form or a signed document. It only appears on items that have something to open.

Who can access each view?

The Company Level View requires Full Access permissions. The Site Level View and Site Workers View are available to both Site Access and Full Access users.
