Orientations let you build a QR code driven onboarding workflow for your sites or your whole company. Instead of manually tracking who has completed site training, workers scan a QR code and work through a checklist of required items. Salus tracks completion automatically, so you always know who is orientated and who still needs to finish.

Orientations are only available to users with Full Access permissions. If you don't see the Orientations option in your navigation, confirm your access level with your admin.

What Makes an Orientation Different From a Regular QR Code

Building an Orientation QR code uses the same builder as a regular QR code bundle, but the way it behaves is different in a few important ways.

  • An Orientation works as a checklist. Every required item on the list has to be completed before a worker's orientation status changes to Completed.
  • Video behavior depends on how the video is added. A video uploaded as a document must be watched in full before that item counts as complete. A linked video URL is marked complete as soon as the worker opens the link, whether or not they watch it. If you want completion tied to actually watching, upload the video as a document instead of linking to it.
  • Completion data from an Orientation QR code feeds directly into each worker's orientation status at the site or company level.
  • The Request Orientation ID and Company Orientation objects are only available inside an Orientation QR code. You won't find them in a regular QR code bundle.

Create a New Orientation QR Code

Use this workflow when you're building an Orientation from scratch, rather than converting an existing QR code bundle.

  1. Click Orientations in the left-hand navigation.
  2. Click Create Orientation.
  3. Select an Orientation Type from the dropdown: Site or Company.
  4. Click Create Orientation to continue.

If you selected Site

  1. Select the site from the dropdown.
  2. Click Create Orientation.

If you selected Company

Note: A Company Orientation isn't tied to a specific site, so no site selection is needed.

  1. Click Create Orientation to continue.

Build the Orientation

  1. Enter a name for the QR code.
  2. Select the modules you want to include in the orientation.

Generate a Certificate (Optional)

If you want Salus to automatically issue a certificate when a worker completes the orientation, turn on Generate Certificate. This is available for both Site and Company Orientations.

  1. Click the Generate Certificate checkbox.
  2. Select the certificate type from the Certificate Type dropdown.
  3. Select the expiration period from the Certificate Expiration Period dropdown.

Certificate Type

The type of certificate that will be generated when the orientation is completed. This dropdown pulls from certificate types already set up in Salus.

Required if Generate Certificate is turned on. Leaving it blank shows a "Type is required" error.

Certificate Expiration Period

How long the generated certificate stays valid. This dropdown pulls from expiration periods already set up in Salus.

Defaults to Always Valid if not changed.

When you're finished adding items, click Create Orientation to save.


Convert an Existing QR Code Bundle to an Orientation

If you already have a QR code bundle posted on site and using it for orientations, you don't need to recreate it. You can convert the existing bundle into an Orientation QR code and keep the same code posted.

Warning: This action cannot be undone. Once you convert a QR code bundle to an Orientation, you can't reverse it.

  1. Go to the QR Codes page.
  2. Click the edit icon next to the QR code you want to convert.
  3. Click Convert to Orientation.
  4. Read the warning, then click the blue Convert to Orientation button to confirm.
If you don't see the edit icon next to a QR code, confirm you have Full Access permissions.

Once the conversion is complete, the QR code disappears from the QR Codes page and appears on the Orientations page instead.


Orientation Objects: Required vs. Not Required

You can add most of the same object types to an Orientation that you'd use in a regular QR code bundle. Not all of them count toward completion, though. Here's how each one behaves.

Required

These must be completed before a worker's status changes to Completed.

  • Check In
  • Form
  • Document or Folder (including video documents)
  • Request Orientation ID
  • Company Orientation

Not Required

These can be added, but don't affect completion status.

  • Asset
  • URL Link

Conditionally Required

Whether this counts toward completion depends on how it's configured.

  • Request Certificate Upload — you can choose whether this item is required or optional when you add it to the orientation.

Note: A video only counts as watched if it's uploaded as a document. A linked video URL is marked complete the moment it's opened, not once it's finished playing.


Orientation Statuses

Every worker's orientation shows one of three statuses.

Not Started

The worker hasn't completed any of the items in the orientation workflow yet.

In Progress

The worker has scanned the orientation QR code but hasn't finished every required item yet.

Completed

The worker has finished every required item in the orientation workflow.


What Happens Next

Once you save an Orientation, it's ready to post or share. As workers scan the QR code and complete items, their status updates in real time from Not Started to In Progress to Completed. If you turned on Generate Certificate, Salus issues the certificate automatically the moment a worker reaches Completed, using the type and expiration period you selected. You can track every worker's orientation status from the Orientations page at any time.


Frequently Asked Questions

Why can't my workers see Company Orientations when they log in on desktop?

This is expected. Company Orientations are designed to be completed through the mobile app or by scanning the Orientation QR code. The standard desktop sign-in view doesn't show the Orientation module for workers. Workers can still complete a Company Orientation on a desktop browser, but they need to use the specific URL generated from the Orientation QR code instead of signing in through the regular site.

Can I use a video or PowerPoint presentation in an Orientation and have it issue a certificate?

Yes. Video content can be included as long as it's hosted at a public URL, but keep in mind: if you use a linked video URL, Salus marks it complete as soon as the link is opened, not once the worker finishes watching. If you want completion tied to actually watching the video, upload it as a document in the Documents section instead of linking to an external URL.

Why don't all of my form templates show up when I'm building a Company Orientation?

Company Orientations aren't tied to a specific site, so only forms that aren't marked "Site Required" will appear in the selection list. If you want a form available for a Company Orientation, open that form's template settings and turn off "Site Required."

If a worker moves from one company or subcontractor to another, does their orientation status move with them?

No. Orientation completion stays associated with the company it was completed under, and there's currently no way to transfer it. It may still be visible at the site level, but not at the company level. If a worker changes companies, they'll need to complete the orientation again under the new company.

Can I edit the completion date on a worker's orientation after it's been recorded?

Not currently. There's no option to edit an orientation's completion date once it's set. If you're onboarding workers who completed orientation before joining Salus, flag this to your Customer Success Manager so it can be considered for a future update.
