Archived Forms Tab

Overview

The Archived tab gives you a searchable place to find draft forms that have been archived in Salus. Use it to locate and restore an archived draft when it's needed again.

Archived forms aren't deleted. They're moved into an archived state, similar to a recycle bin, so form data is preserved even if a draft is archived by mistake.

A draft form can end up in Archived automatically, through the Auto-Archive Draft Forms feature, or manually when a user deletes a draft.

What Forms Appear Here

The Archived tab contains draft forms only. Submitted or completed forms never appear here.

  • Archived drafts do not affect reporting or active datasets.
  • They can be restored at any time by an authorized user.

Who Can Access the Archived Tab

Access depends on permission level, not a specific role name. Since roles are customizable, the level, not the role title, is what determines access.

Full Access

Can access the Archived tab, restore any archived draft company-wide, and configure the Auto-Archive Draft Forms feature. Typically held by Company Admins.

Site Access

Can view and restore archived drafts only for Sites they have access to. Cannot turn on or change Auto-Archive Draft Forms settings. Typically held by Foremen.

Search and Filter Archived Forms

Use the Search Archived Forms bar to find a form by a partial or full match on form name, form ID, or Site name.

You can also apply one or more filters at the same time to narrow results:

  • Site
  • Form Title
  • Created By
  • Last Modified Date Range

Restore an Archived Form

  1. Find the form using search or filters.
  2. In the Actions column on the right, click the restore icon.

Site Access users can only restore drafts for Sites they have access to. If you don't see a form you expect, confirm your Site access or check with a Full Access user.

What Happens Next

Once restored, the form returns to the Submitted tab in Draft status. It's fully accessible and viewable again, just as it was before it was archived.

Frequently Asked Questions

Are archived forms deleted?

No. Archived forms are retained and can be restored at any time.

Can I open or view a form while it's archived?

No. You need to restore it first. Once restored, it's available in the Submitted tab.

Who can restore archived forms?

Users with Full Access or Site Access permissions. Site Access users can only restore drafts for Sites they have access to.

Why can't I see all archived forms?

Visibility depends on Site access. Site Access users only see archived drafts for Sites they're assigned to, while Full Access users see all archived forms company-wide.

Do archived forms affect reporting or data?

No. Archived draft forms don't affect reports or active form data.

Why do I see a draft here that I deleted manually?

Deleting a draft doesn't permanently remove it. It moves to the Archived tab, the same as an auto-archived draft, so it can still be restored if needed.
