SALUS form approvals allow you to configure form specific approval flows to ensure that the correct people are getting notified when their review is needed for a specific form. This feature will also enable a form review notification loop which will continue until the submitted form has satisfied all requirements and been approved.

Here is how it works:

Enable Form Approval

  1. Navigate to the Forms library.

  2. Select the form you want to enable approvals for.

  3. In the Form Template view, locate and select the Review Required checkbox.

  4. Once enabled, the Approval Type dropdown will appear.

Choose an Approval Type

Use the Approval Type dropdown to determine who receives approval notifications.

Company User

Select Company User to route form approvals to one or more specific users within your company.

  1. From the Approver dropdown list, select the user or users who should receive company-wide approval notifications.

  2. These users will be notified whenever a submission requires approval, regardless of site.

  • Best for centralized or compliance-driven approval workflows

Site Role

Select Site Role to route form approvals to users based on their assigned role at a site.

  1. Select the role or roles that should receive form approval notifications.

  2. Notifications are sent to users who hold the selected role on the site where the form is submitted.

  • Ideal for site-level approvals that are consistent across the company

Note: Site Role approvals are intended for company-wide workflows that depend on site role assignments rather than individual users.

Next Steps

After selecting an approval type and configuring the appropriate users or roles, save your changes. Once enabled, form submissions will automatically trigger approval notifications based on your configuration.

Expected Behavior

Once the form approval flow is configured, the following behavior is expected:

  • Any time the form is submitted and the status is Pending Review, the configured approver(s) are notified that the form requires review.

  • If the form is disapproved, the form submitter receives a notification indicating that the submission was not approved.

  • The submitter must resubmit the form after making any necessary changes.

  • Each resubmission triggers a new notification to the reviewer.

  • This review cycle continues until the form is approved by the reviewer.
