Share a Form (Mobile)

Overview

Sharing a form gives another worker access to it directly from the Salus mobile app. Use this when you need someone else to review, sign, collaborate on, or submit a form on your behalf.

You control exactly what the other person can do with the form by choosing a sharing permission. Any worker you have access to can be added, whether the form is still a draft or has already been submitted.

Step-by-Step Instructions

Share the form

  1. Open the form you want to share.
  2. Tap Share in the toolbar at the top of the form.

Select the worker(s)

  1. Use Search Workers to find a specific person, or select from the list.
  2. Tap the checkbox next to each worker you want to share the form with. You can select more than one.
  3. If the worker you want isn't listed, tap Add Worker.
  4. Tap Next.

Choose a sharing permission

On the Share Form Details screen, choose one Sharing Option for the worker or workers you selected:

Full Access

The worker can submit and edit the form.

Use it when: the worker needs to complete and finalize the form themselves.

For Collaboration

The worker can edit the form but cannot submit it.

Use it when: the worker is contributing information but shouldn't finalize the form.

For Signature

The worker can view and sign the form, but cannot edit or submit it.

Use it when: the worker only needs to review and sign off.

Note: The sharing permission you choose here controls exactly what the worker can do. If a worker tells you they can't edit or submit a form you shared, check the permission you selected. This is the most common cause of that issue.

  1. Tap Share.

Confirm the form was shared

After tapping Share, you land on the Form Shared With User(s) screen. This lists everyone the form is currently shared with. Tap the + icon in the top right to search for and share with additional workers at any time.

Change a worker's sharing permission

  1. On the Form Shared With User(s) screen, tap the worker's name.
  2. Select a new Sharing Option: Full Access, For Collaboration, or For Signature.
  3. Tap Update.

This sheet shows the same three Sharing Options described above.

What Happens Next

Once you tap Share, the form immediately becomes accessible to the selected worker(s) inside their own Salus app, with the permission level you chose. You'll see them listed on the Form Shared With User(s) screen right away.

What the worker can do depends entirely on their permission: Full Access lets them submit and edit, For Collaboration lets them edit only, and For Signature lets them view and sign only. You can return to this screen at any time to add more workers or change existing permissions.

Frequently Asked Questions

What's the difference between Full Access, For Collaboration, and For Signature?

Full Access lets the worker submit and edit the form. For Collaboration lets them edit but not submit. For Signature lets them view and sign only, with no editing or submitting.

Why can't the worker I shared the form with edit or submit it?

This is almost always a permission issue. If they were shared the form as For Signature, they can only view and sign it. Change their permission to Full Access or For Collaboration if they need to edit or submit.

Can I change a worker's sharing permission after I've already shared the form?

Yes. Tap the worker's name on the Form Shared With User(s) screen, select a new option, and tap Update.

What if I can't find the worker I want to share with?

Use Search Workers to check spelling or try a partial name. If they still don't appear, tap Add Worker on the selection screen.

Do I need to submit the form before I can share it?

No. You can share a form whether it's still a draft or has already been submitted.

Does sharing work the same way on desktop?

Form sharing is also available on desktop, but the steps in this article cover the mobile app only.
