Sign, approve, and disapprove a form (mobile)

Overview

Signing adds a worker's signature to a submitted form. Reviewing lets an authorized user mark a form as approved or disapproved, with an optional comment and signature. Use signing to record that someone has read or completed a form, and use review when a form needs formal sign-off before it's considered complete.

Anyone with access to a submitted form can sign it. Approving or disapproving is more restricted, since it depends on both the form's settings and the reviewer's permission level. See the Note below for details.

Step-by-Step Instructions

Sign a form

  1. Open the Forms tab and select the Submitted tab. Choose the form you want to sign.
  2. Tap Signatures in the toolbar. This shows any workers who have already signed the form.
  3. Tap Sign to add another signature.
  4. Search for or select the name of the worker who needs to sign.
  5. Sign in the signature pad, optionally tap Add Comment to include a note, then tap Submit Signature.

Approve or disapprove a form

  1. Open the Forms tab and select the Submitted tab. Choose the form you want to review.
  2. Tap Review in the toolbar.
  3. Select Approved or Disapproved.
  4. Add a comment if needed (optional).
  5. Sign in the signature box, then tap Submit Signature.
If you don't see the Review option, the form template may not have Review Required turned on, or your permission level may not allow it. See the Note below.

Note: Approving or disapproving a form requires both of these to be true: the form template has Review Required enabled (set on desktop, when the form is built), and the reviewer has Full Access or Site Access permissions. Full Access can review any form company-wide. Site Access can only review forms for their assigned sites. Own Access and Limited Access users cannot approve or disapprove forms.

What Happens Next

After you submit a signature, it's added to the form immediately and appears the next time anyone opens the Signatures screen for that form.

After you submit a review, the form's status updates to reflect the decision. If the form has Form Approvals configured, disapproving it notifies the person who submitted it, and they'll need to make changes and resubmit. Each resubmission notifies the reviewer again, and this continues until the form is approved.

Frequently Asked Questions

Why don't I see the Review option on a form?

Either the form template doesn't have Review Required enabled, or your permission level is Own Access or Limited Access. Both conditions need to be met for Review to appear.

Who can approve or disapprove a form?

Users with Full Access can review any form company-wide. Users with Site Access can review forms only for the sites they're assigned to. Own Access and Limited Access users cannot approve or disapprove forms.

Can more than one person sign the same form?

Yes. The Signatures screen lists everyone who has already signed, and you can tap Sign to add another worker's signature at any time.

Is adding a comment required when reviewing a form?

No, the Comments box is optional. You can approve or disapprove a form without adding a comment.

Where do I turn on Review Required for a form?

That's set on desktop, in the form template's editor, not in the mobile app. Ask your admin if a form is missing this setting.

What happens after I disapprove a form?

If Form Approvals is set up for that form, the submitter is notified and needs to resubmit. The review cycle repeats until the form is approved.
