Create an Asset Profile
An asset profile represents a piece of equipment, such as a vehicle, forklift, or excavator, that you track in Salus. Creating a profile lets you record details like VIN, hours, and cost, and makes the asset available for maintenance tracking, QR code generation, and site assignment.
Use this article any time you need to add a new piece of equipment to Salus.
Steps
- Click Assets in the left sidebar.
- The Active tab opens by default, showing your current assets.
- Click New Asset in the top right.
- Fill in the asset's details in the New Asset window. Only Name is required, everything else is optional.
Fields
Name
The identifying label for the asset. This is the only required field, and it's what appears throughout the Assets tables and search.
Use it when: always. You can't create an asset without it.

Type
A dropdown that categorizes the asset, such as Excavator, Trucks, or Forklifts.
Use it when: you want the asset to show up correctly under the Types tab and in filtered searches.
VIN
The vehicle identification number or serial number for the asset.
Use it when: the asset has a VIN or serial number you want on record.
Model, Year, Colour
Manufacturer details for the asset.
Use it when: you want to distinguish between similar assets at a glance.
Hours, Kms/Miles
Usage tracking fields. Hours records operating hours, Kms/Miles records distance travelled.
Use it when: you plan to track usage over time, for example ahead of scheduled maintenance.
Description
A free text field for any additional notes about the asset.
Use it when: you want to record details that don't fit another field.
Fuel Type
A dropdown to record what fuel the asset uses.
Use it when: fuel tracking or reporting matters for this asset.
Insurance Date
A date picker for recording an insurance-related date, such as a renewal or expiry date.
Use it when: you want to keep insurance dates on record for this asset.
Cost
The purchase or replacement cost of the asset.
Use it when: you want cost data available for reporting.
- Click Create.
What Happens Next
The New Asset window closes and the asset appears in the Active tab, along with any details you entered. From there you can edit the asset, generate a QR code for it, or archive it using the icons in the Actions column.
Frequently Asked Questions
Do I need to fill in every field to create an asset?
No. Name is the only required field. Everything else can be left blank and added later.
Can I edit an asset after creating it?
Yes. Use the icons in the Actions column next to the asset in the Active tab to make changes.
Why don't I see the New Asset button?
You likely don't have access to the Assets module. Check with your admin to confirm your permissions.
Do I need Admin or Full Access permissions to create an asset?
No. Any user with access to the Assets module can create a new asset.
What's the difference between Type and Fuel Type?
Type categorizes the kind of equipment, such as Excavator or Forklift. Fuel Type records what fuel the asset runs on. Both are optional dropdowns.
