Desktop Assets Interface

Navigate to “Assets” within the main menu to access the following tabs:

Active tab

Contains a table of the company’s Active assets for tracking and management. Key features and actions include:

  • + New Asset
    • Creates a new asset by collecting the base details and adding it to the table.

  • Asset actions
    • QR Code - Scanning the QR Code will take you to the Asset Profile.
    • Archive - archives the asset and moves it to the Archived tab.

Note: The asset can be re-activated from the Archived tab if required.

  • Assets in the table
    Clicking into an asset in the table drills down into asset specific information. Here you can:
    • View and add log entries to the Log Book
    • View and add log entries to the Maintenance Log
    • View forms associated with the asset
    • View and add reminders for the asset
    • Upload related documents to the asset

Note: This is independent of the documents library and is only uploaded and viewed against the asset.


Archived tab

Contains a table of the company’s archived assets. Key features and actions include:

  • View & Edit the archived asset
    You can continue viewing and adding information to the asset if required.
  • Activate the archived asset
    If the asset is back in service, you can activate the archived asset which moves it back to the Active tab.


Types tab

Contains a table of the Types of assets. These are how the assets are grouped into their overarching categories for reporting purposes, to standardize the groups of assets you want to report on. This is reflected in the column named Type in the Active tab. Key features and actions include:

  • + Add Type
    Creates a category for you to tag your assets under to sort and report on them easily.
  • Delete
    Deletes the type.

Note: Deleting is only possible if no assets are tagged to the type.


Maintenance tab

Contains a table of assets currently in need of maintenance, in a table view for tracking purposes. The table contains key identification of the asset, who the task is assigned to, and the completion status. This list summarizes maintenance cases which have been added to the Maintenance Log of each asset.

Key features and actions include:

  • Clicking into each maintenance case brings up the Edit Case dialog box to amend the following attributes:
    • Status: Choose from Pending, In Progress, Completed
    • Title: Change the title of the case
    • Notes: Free text field for notes and comments
    • Cost: Field to record the cost
    • Worker: Changes the assigned worker on the case
    • Attach Document: Attaches a document to the Maintenance case

 

Upcoming tab

Contains a table of scheduled upcoming maintenance activities for the assets on the platform. It is listed in chronological order with the maintenance activities that are overdue at the top (shown by negative hours or days), then moving into the ones coming up next.

 

Reminders tab

Contains a table of reminders set up on the platform for scheduled maintenance requirements. It is categorized by options to send a reminder on a date, or when particular milestones have been achieved (e.g. hours passed, distance driven, days passed, log maintenance requirement). Setting up a reminder provides options for you to send emails to identified addresses and/or create a maintenance case automatically which will be created in the Maintenance Log for the asset, and also appears in the Upcoming tab of the main assets page (which reflects scheduled maintenance reminders).

Note: You cannot edit a reminder once it’s been set, although you can delete it to start over.

Key features and actions include:

  • + New Reminder
    The +New Reminder button creates a new asset reminder to appear in the table. Fields for the reminder include:
    • Reminder Type: Hours, Distance, Date, Days, Log Maintenance
    • Asset: Identify asset from the drop down
    • Email(s): Insert email addresses to be notified if email notification is required
    • Reminder Title: A name for the reminder
    • Note: Free text field for notes and comments
    • Send email checkbox: Automatically notifies identified email when reminder is due
    • Create Maintenance Case checkbox – automatically creates a maintenance case in the Maintenance Log for the asset, and also appears in the Upcoming tab in the main assets page section when reminder is due.
  • Delete reminder
    Deletes the reminder
