Create a Site

Overview

Sites are the foundation of how Salus organises your safety program. Each site represents a physical work location, such as a job site or facility, where workers check in, complete orientations, and participate in safety activities.

Create a site whenever you are starting a new project or opening a new location. Once a site is active, you can assign workers, attach forms, track check-ins, and monitor compliance from a single place.

Step-by-Step Instructions

Step 1: Open the Create Site form

  1. Click Sites in the left navigation menu.
  2. Click Create Site in the top right corner of the Sites listmarkup-1782755462569.png

Step 2: Enter site information

The Create Site dialog opens on Step 1: Site Info. Complete the fields below.

Note: Fields marked with an asterisk (*) below are required. You cannot proceed to the next step until all required fields are filled in.

Private Site (toggle)

Controls who can see and access this site. When off (default), any worker in your company with the appropriate permissions can access the site. When on, access is restricted to workers you explicitly add in Step 2.

Use it when: the site is confidential, belongs to a specific client crew, or should not appear to workers unrelated to that project.

Site Name *

The name workers and admins will see throughout Salus. Use a name that clearly identifies the project or location.

Required.

Site Type *

A dropdown that categorises the kind of work location. Select the type that best matches your site.

Required.

Phone

A contact phone number for this site. Optional.

Use it when: workers or subcontractors need a direct number to reach someone on site.

Muster Point

The designated emergency assembly location for this site. Workers can reference this during an evacuation.

Use it when: your site has a defined emergency meeting point, such as a parking lot or building entrance.

On Site Role

Select a Role or Trade *

The primary trade or role associated with this site. This is used to classify the type of work being performed.

Required.

Site Address

Use the Search for location field to look up and auto-fill the address, or enter the fields manually.

Address *

The street address of the site. Required.

Tip: Use the Search for location field above to populate this automatically.

City *

The city where the site is located. Required.

 

Country *

The country where the site is located. Required.

 

Timezone *

The timezone for this site. Salus uses this to record accurate timestamps for check-ins, form submissions, and other site activity. Required.

Use it when: your company operates across multiple time zones.

Tip: Type the site address into the Search for location field. Salus will auto-fill the Address, City, Country, and Timezone fields for you.

Step 3: Add workers to the site

The Add Workers to Site screen shows all workers in your company. Select the workers you want to assign to this site.

  1. Use the Search Workers... field to find workers by name.
  2. Check the box next to each worker you want to add.
  3. Click Next to continue.

Note: Adding workers here is optional. You can skip this step and add workers to the site later from the site's detail page.

Note: If you enabled the Private Site toggle in Step 1, only the workers you add here will be able to access the site. Make sure to include everyone who needs access before clicking Next.

Step 4: Enter site details and create the site

The final step, Site Details, contains optional fields for internal tracking and organisation. All fields on this screen are optional.

Display Name

An alternate name for the site, used in certain views or reports. If left blank, the Site Name from Step 1 is used.

Use it when: you want a shorter or client-facing name to appear in specific contexts.

Accounting System - Site Name

The site name as it appears in your accounting system. Entering this helps match Salus data to your financial records.

Use it when: your company reconciles Salus data against an accounting or payroll platform.

Job Number

Your internal job or project number for this site. Useful for cross-referencing with other systems.

Use it when: your company tracks projects by a job number in a separate system.

Site Tag fields

Up to three site tag fields are available. Tags are custom labels your company defines to group or filter sites. The names of these fields are configured by your admin.

Use them when: you want to filter or report on sites by region, division, client, or any other custom category.

  1. Click Create to finish. The site is now live.

What Happens Next

After you click Create, the dialog closes and the new site appears in your Sites list under the Active tab. The site is immediately available for use.

From the site's detail page you can:

  • Add or remove workers at any time.
  • Attach forms and orientations.
  • View and manage check-ins.
  • Update any site details, including the privacy setting.

Workers assigned to the site will be able to check in immediately. If the site was created as a Private Site, only the workers you added during setup will see it.

Frequently Asked Questions

I don't see the Create Site button. What's wrong?

You may not have the permissions needed to create sites. Contact your Salus admin to confirm your account has the correct access level.

I can't click Next on Step 1. Why?

All required fields must be filled in before you can proceed. Check that Site Name, Site Type, On Site Role, Address, City, Country, and Timezone are all completed. Any missing field will be highlighted in red.

Do I have to add workers when creating the site?

No. The Workers step is optional. You can skip it and add workers later from the site's detail page. The exception is Private Sites: if the site is private, any worker not added during setup will not be able to see or access it until they are added manually.

What is a Private Site and when should I use it?

A Private Site is only visible to workers who are explicitly assigned to it. Use this for confidential projects, client-specific crews, or any site where you want to control access and limit visibility to authorised workers only.

Can I change the Private Site setting after the site is created?

Yes. You can update the privacy setting and any other site details from the site's detail page after creation.

What are the Site Tag fields for?

Site Tags are custom labels your admin configures to help group and filter sites. For example, your company might use tags to categorise sites by region, division, or client. The field names you see are set by your admin and may differ from the defaults shown here.

What is the Accounting System - Site Name field for?

This field lets you record the name your accounting or payroll system uses for this site. It helps when reconciling Salus data with financial records. It does not affect how the site appears to workers.
