Desktop Documents Interface

The Documents module is where your company stores, organizes, and shares safety documents. Admins can upload files, build a folder structure, attach documents to sites, and track which workers have signed them. Depending on your plan, you can also generate safety documents using AI.

Library Tab

The Library tab holds all documents uploaded to your company account. Documents are organized in folders. You can create as many folders as you need, including subfolders for further organization.

Folder Actions

Each folder in the Library has the following actions available:

  • Attach Sites — Share the folder with one or more sites. Workers assigned to those sites with read/write access will be able to view the documents inside.
  • Share — Opens a share panel with a link to the folder. You can copy the link or share it via apps like Microsoft Teams, Outlook, or Gmail. The link can only be accessed by someone who is signed into a Salus account associated with your company.
  • Rename — Change the folder name.
  • Delete — Permanently remove the folder and all documents inside it.

Warning: Deleting a folder permanently removes it and all documents inside. This cannot be undone.

Document Actions

Click a folder to open it and see its documents. Each document has the following actions available:

  • Upload Documents — Add new documents to the folder.
  • New Folder — Create a subfolder inside the current folder for further organization.
  • Attach Site — Share this specific document with a site.
  • Share — Opens a share panel with a link to the document. You can copy the link or share it via apps like Microsoft Teams, Outlook, or Gmail. The link can only be accessed by someone who is signed into a Salus account associated with your company.
  • Sign — Collects your signature, which is placed at the bottom of the document as confirmation that you have viewed it. For more information, see Sign Documents.
  • Email — Sends a copy of the document to one or more email addresses. The email is sent from the platform. Recipients receive the document as an attachment but cannot reply to the email.
  • Move — Move the document to a different folder.
  • Enable Offline Sync — Downloads the document to the mobile app so it can be accessed without an internet connection.
  • Rename — Change the document name.
  • Delete — Permanently remove the document.

Note: Shared links are not public. Anyone who clicks the link must sign in to Salus with an account that belongs to your company. Users signed in to a different company's account will be denied access.

Signed Tab

The Signed tab shows a list of all documents across your company that have been signed. For each entry, you can see the worker name, the site, and the date it was signed.

From the Signed tab, you can:

  • Email — Send a copy of the signed document to one or more email addresses.
  • View the document — Click a document in the list to open it. From here you can view the signature at the bottom of the last page, download the document, or print it.

Note: Signed documents also appear under a worker's profile and on the site itself, giving you two additional ways to access proof of verification.

AI Drafts Tab

The AI Drafts tab lets you generate a first draft of a safety document using Rosie, the Salus AI. Rosie is trained on thousands of pages of industry safety laws, standards, and recommendations, so you can produce documents like pre-task plans, safe work procedures, and toolbox safety talks in seconds.

Note: This tab is only available if your company is on a plan that includes AI features and has been enabled for the beta. If you do not see the AI Drafts tab, contact your account manager or Salus support.

Note: AI Drafts is a beta feature. Always review generated content before using it. Salus does not take responsibility for the accuracy or completeness of AI-generated documents.

How to Generate an AI Draft

  1. Open the AI Drafts tab.
  2. Click the Select Document Format dropdown and choose a document type, such as Pre-Task Plan, Safe Work Procedure, or Toolbox Safety Talk.
  3. In the Prompt field, describe the document you want to generate. Be specific: include the task, work environment, or any relevant hazards. For example: Safe Work Procedure: Handling Hazardous Materials on Construction Sites.
  4. Under Select Documents Source, choose which source material Rosie should draw from. Check Public Safety Documents to include publicly available safety resources. Leave it unchecked to use your company's own documents only.
  5. Click Generate AI Draft.
  6. Once the draft is ready, copy the text into an existing document or download it as a DOCX file.

What Happens Next

Changes in the Documents module take effect immediately:

  • Documents uploaded to a folder appear instantly and are available to view or share.
  • When you attach a folder or document to a site, workers assigned to that site with read/write access can access it right away.
  • When a worker signs a document, the signature record appears immediately in the Signed tab, the worker's profile, and the site record.
  • AI-generated drafts are available to download or copy as soon as generation completes.

Frequently Asked Questions

Who can access documents attached to a site?

Workers assigned to that site with read/write access can view the attached documents. Workers without those permissions will not see them.

Can someone outside my company open a shared document link?

No. Anyone who clicks the link must sign in to Salus with an account that belongs to your company. Users with no account, or with an account from a different company, will be denied access.

Can a recipient reply to an emailed document?

No. Emails are sent from the Salus platform and deliver the document as an attachment. Recipients cannot reply to the email.

Where else can I find a worker's signed documents?

Signed documents appear in three places: the Signed tab in Documents, the worker's profile, and the site the document was attached to.

I don't see the AI Drafts tab. Why?

The AI Drafts tab is only available to companies on a plan that includes AI features and have been enabled for the beta. If your company qualifies but you still can't see it, contact Salus support.

Can I recover a deleted folder or document?

No. Deletions are permanent and cannot be undone. Make sure you want to remove a folder or document before confirming.

Are AI-generated documents ready to use immediately?

No. AI Drafts are a starting point only. Always review the content carefully before using it. Salus does not take responsibility for the accuracy or completeness of AI-generated documents.
