Overview
The Documents library is where your company stores and organizes shared files: site policies, safety data sheets, training materials, and more. From the library you create folders, upload files, and manage each file with quick actions like share, email, move, rename, and delete.
Use the library to keep company documents in one organized place that the right people can access. This article covers managing documents on Salus Desktop: creating folders, uploading files, and using the per-file actions.
The library has three tabs: Library, where you create folders and manage files; Signed, which tracks documents that have been signed; and AI Drafts, an AI-assisted feature covered in a separate article. This article focuses on the Library tab.
Note: The top level of the library holds folders only. You cannot upload a file to the root. Create or open a folder first, then upload files inside it.
Navigation
Select Documents in the left menu. The library opens on the Library tab, showing your existing folders.
Create a folder
Folders organize your files and are required before you can upload. Create a folder first, then add files to it.
- On the Library tab, click Create Folder in the top right.
- Enter a name for the folder.
- Confirm to create it. The new folder appears in the library list.
Upload a file
Files are always uploaded inside a folder. Open a folder first, then upload.
- Click a folder to open it. The Upload File button appears in the top right, next to Create Folder.
- Click Upload File. Your computer's file picker opens.
- Select the file you want to upload. To upload several at once, hold Shift and select multiple files.
- Confirm your selection in the picker. The files upload and appear in the folder automatically.
Note: Only these file types can be uploaded: PDF (.pdf), images (.png, .jpg), and videos (.mp4, .mov). Other file types are not accepted.
Each uploaded file appears in the folder table with its original filename as the Title, an Uploaded At timestamp, a Total Signatures count starting at 0, and a Signed By You column.
Manage files with row actions
Each file row has five action icons in the Actions column. From left to right:
Share
Opens your device's share options, such as AirDrop, Mail, or Messages, so you can send the file using the apps on your computer.
Use it when: you want to hand the file off through your own device rather than from inside Salus.
Opens the Email Document window. Enter a recipient's email address and click Send Email to send the file directly from Salus.
Use it when: you want to send the document to someone by email without leaving Salus.
Move document
Moves the file to a different folder in the library.
Use it when: a file is in the wrong folder and needs to be reorganized.
Rename
Changes the file's Title in the library. This updates the display name only.
Use it when: the uploaded filename is unclear and you want a cleaner, more recognizable title.
Delete
Removes the file from the library.
Use it when: a file is no longer needed and should be removed.
Warning: Deleting a file removes it from the library. Make sure you no longer need the document before deleting it.
What Happens Next
After you upload, files appear in the folder immediately, with no separate processing or confirmation step. Each file is then available to share, email, move, rename, or delete from its row.
Documents in the library can also be sent for signature. As people sign, the Total Signatures count updates and the Signed By You column reflects your own signing status. Signed documents are tracked on the Signed tab at the top of the library.
Frequently Asked Questions
Why can't I see an Upload File button?
Files can only be uploaded inside a folder. The Upload File button does not appear at the top level of the library. Open a folder first, and the button appears in the top right.
Why can't I upload a file to the main library page?
The top level of the library holds folders only. You must create or open a folder before uploading any files.
Which file types can I upload?
PDF (.pdf), images (.png, .jpg), and videos (.mp4, .mov). Other file types are not accepted.
Can I upload more than one file at a time?
Yes. In the file picker, hold Shift and select multiple files. They all upload to the open folder and appear in the table automatically.
What is the difference between Share and Email?
Share uses your device's own sharing options, such as AirDrop, Mail, or Messages. Email opens a window inside Salus where you enter a recipient's address and send the file directly.
Does renaming a file change the original file?
Renaming changes the Title shown in the library. It updates the display name, not the contents of the file.
Who can manage documents in the library?
Full Access and Site Access users can create folders, upload, and manage files. Own Access users cannot manage the library.
