Documents Overview

The Document Library is the central place to keep source documents you upload as PDFs, images, or videos. From there, you can assign a folder to a site so workers can view or sign its contents, depending on the access they've been given.

Once a worker signs a document, the signed copy is filed under their profile (and linked to a site, if relevant) and also appears in the Signed tab. The original stays in the Library untouched, so it can be shared and signed by other workers in the future.

Documents has four tabs: Library (your source documents and folders), Signed, AI Drafts, and Archived.

AI Drafts

Generate a new safety document with Rosie, Salus's AI assistant. Choose a document type (such as Pre-Task Plan, Safe Work Procedure, or Toolbox Safety Talk), describe what you need in the prompt field, and optionally include public safety resources as a source alongside your own company's documents.

Archived

Holds individual documents that have been archived out of a folder, showing their original location and archive date. Use the icons in the Actions column to view or restore one.

Where to View Signed Documents

Documents > Signed

A company-wide list of every signed document, filterable by Document, Worker, or Site. Use the email icon in the Actions column to send a copy to any email address.

A site's Documents tab

Shows the documents and signatures tied to that site. This is a view-only mirror, you can look but not interact with the documents from here.

A worker's profile Documents tab

Shows the documents and signature tied to that worker. Also view-only.

Accepted Formats

The Document Library accepts PDFs, images (such as JPG or PNG), and videos (such as MP4 or MOV) for uploading, sharing, viewing, and signing.

Frequently Asked Questions

What's the difference between the Library and Signed tabs?

Library holds your original source documents and folders. Signed is a filtered list of every completed signature across your company.

Can I sign or edit a document from a site's Documents tab or a worker's profile?

No. Both are view-only. To sign or manage a document, use the main Document Library.

Should I double-check documents generated with AI Drafts?

Yes. Rosie does her best based on your prompt and chosen sources, but you should always review a generated document before publishing or sharing it.

Does archiving a document delete it?

No. It moves to the Archived tab, where it can still be viewed or restored to its original location.
