Add Workers to Sites
Overview
Workers need access to a site before they can check in, complete orientations, fill out forms, or view site-specific content. Salus gives you three ways to manage that access.
Use this article to add one worker, add many workers at once, or understand how QR code check-in fits into the picture.
Tip: If you are adding workers while creating a brand new site, you can do this directly in the Create Site dialog. See Create a Site for that flow. This article covers adding workers to a site that already exists.
Three Ways to Manage Site Access
- From a worker's profile, useful when adding one worker to one or more sites at once.
- From a site's Workers tab, useful when adding many workers to a single site at once.
- By scanning a site QR code, a quick check-in method workers can use from the Salus mobile app.
Method 1: Add Sites from a Worker's Profile
Use this method when you are managing one worker's access across one or more sites.
- Click Workers in the left navigation menu.
- Click the name of the worker you want to manage.
- Select the Site Access tab on the worker's profile.
On the Site Access tab:
- Use Search Sites... to find a specific site, or scroll the list.
- Check the box next to each site you want to grant access to. Uncheck the box next to any site you want to remove access from.
- Click Update Selected to save your changes.
Note: Changes to checkboxes are not saved until you click Update Selected. If you navigate away before clicking it, your changes are lost.
You can also use the following shortcuts instead of checking boxes individually:
- Add All: gives this worker access to every site in your company.
- Remove All: removes this worker's access from every site in your company.
Warning: Add All and Remove All apply immediately to this one worker, across every site in your company. They are not limited to the sites currently shown in your search results.
Method 2: Add Workers from a Site's Workers Tab
Use this method when you are adding multiple workers to a single site at once.
- Click Sites in the left navigation menu.
- Click the name of the site you want to manage.
- Click the Workers tab in the site's left menu.
- Click Add Workers.
The Add Workers dialog opens with a search field.
- Type a worker's name into the Add Workers to Site field.
- Select the worker from the dropdown list that appears.
- Repeat for each additional worker, one at a time.
- Confirm to add the selected workers to the site.
Note: The Add Workers field searches and adds one worker at a time. There is no way to multi-select several workers in this dialog before confirming.
You can also use the following options from the Workers tab without opening the Add Workers dialog:
- Add All: gives every worker in your company access to this one site.
- Remove All: removes every worker's access from this one site. A confirmation dialog appears before this action is applied.
Warning: Add All and Remove All on this screen apply only to the current site. They do not affect any other site in your company.
Removing specific workers
To remove one or more specific workers without removing everyone:
- Check the box next to each worker you want to remove.
- A Multi-select Options bar appears at the bottom of the screen.
- Click Remove Selected Workers.
Note: The Multi-select Options bar also includes Mark Orientation As Completed, which applies to the same selected workers. Be sure to click the correct button for the action you want.
Method 3: QR Code Check-In
Workers can also check in to a site by scanning a site-specific QR code from the Salus mobile app. This is a quick way for workers to check in on arrival, but it works differently from Methods 1 and 2.
- The worker opens the Salus mobile app.
- The worker scans the site's QR code.
- Salus identifies the site associated with that code and checks the worker in immediately. No administrator approval is required.
Note: Scanning a QR code checks a worker in and gives them access to forms, orientations, and shared site content for that visit.
What Happens Next
Once a worker has Site Access (Methods 1 or 2), the site appears in the list of sites that worker can check into, complete forms for, and view content for. There is no separate confirmation step. The change applies as soon as you click Update Selected, confirm in the Add Workers dialog, or use Add All.
For QR code check-ins, the worker is checked in for that visit immediately upon a successful scan, with no further action from an admin.
Frequently Asked Questions
Which method should I use to add workers?
Use the worker's profile (Method 1) when managing one worker across several sites. Use the site's Workers tab (Method 2) when adding several workers to one site. QR code check-in (Method 3) is for workers checking themselves in on arrival, not for admin-managed access setup.
Can I add multiple workers at once from the Add Workers dialog?
No. The Add Workers field on the site's Workers tab searches and confirms one worker at a time. To add many workers quickly, use Add All, or add sites in bulk from each worker's own profile.
I checked a worker's box but nothing happened when I clicked Add All. Why?
Add All and Remove All do not use checkboxes. On a worker's profile, they apply to that one worker across every site in your company. On a site's Workers tab, they apply to that one site across every worker in your company. Checkboxes are only used with Update Selected (Method 1) or Remove Selected Workers (Method 2).
I accidentally removed a worker from a site. Can I undo it?
There is no undo action. Add the worker back using Method 1 or Method 2.
I don't see the Add Workers or Remove All buttons. What's wrong?
You may not have the permissions needed to manage site access. Contact your Salus admin to confirm your account has the correct access level.
